NCELTR Policies and Procedures
Conditions of Enrolment
Please be aware of the following conditions of enrolment before submitting an Application Form:
- You must be 16 years of age or over to study at NCELTR (excluding SIBT students). All students on a student visa and under the age of 18 must comply with NCELTR's policy for underage students.
- All fees are payable in advance and must be paid before an e-Confirmation of Enrolment will be issued.
- The non-refundable enrolment fee of $200 and the Social and Recrational Activities Fee (SRAF) of $55 are payable once per calendar year.
- Program fees will be refunded in full if a visa application is rejected. Evidence from the relevant Australian Embassy must be provided.
- Enrolment in a particular program is subject to language assessment. NCELTR reserves the right to cancel or amend programs as necessary depending on student numbers. Students affected by the cancellation of a program will be offered an alternative program or a refund of fees.
- Australian student visa regulations require 80% class attendance by overseas students.
Behaviour and Attendance Policy
- All NCELTR students are expected to abide by Australian law, and respect the well-being of all students and staff at NCELTR and Macquarie University. Students are also expected to behave in an appropriate manner at all times. Failure to comply with the above regulations may result in immediate expulsion and forfeiture of fees.
Students must abide by the following NEAS requirement regarding attendance:
- “7.1 ELICOS students are required by NEAS to attend the course for 20 hours per week. They must have a record of at least 80% attendance over the course to be allowed to extend their visa.”
- NCELTR expects all students on all visa categories to attend all classes, unless they are able to present a medical certificate or a serious reason not to attend, such as a personal or family crisis or accident. All NCELTR English and university preparation programs are structured to guide students step by step through their language learning. Poor class attendance by one or more students disrupts the language learning process for the students who miss classes themselves, and also disturbs the cohesiveness of the whole class for other students and for the teacher.
The following policy applies to all refunds / transfer requests submitted from 1 July 2007
- A request for refund must be made in writing 28 days before the commencement of the enrolment. In this case, full tuition fees and the SRAF fee will be refunded less the non-refundable enrolment fee.
- Where students withdraw from their course more than 28 days before the commencement date, a cancellation fee of 25% of tuition fees will be charged.
- No refunds will be granted after the course has commenced.
- In the case of visa rejection, students must notify NCELTR in writing and the official Embassy Rejection advice must be submitted for a full refund.
- All refunds approved by NCELTR will be paid within 4-6 weeks of receiving a complete written request from the student with all supporting documentation.
- If NCELTR cancels a course at any time after payment of fees but before the conclusion of the enrolled course a full refund will be granted to the student.
- Where the enrolment of a student with a package offer with Macquarie University is affected by the start date of their university program and that student meets university entry requirements, any unused fees will be transferred to the student’s account at Macquarie University.
- Where an enrolled student is granted permission to defer his/her studies (such request must be made in writing and approved at the discretion of the Head, Language Programs), the fees from any remaining weeks of tuition may be held for a period of 45 weeks from the date of the written application. The student or an agent acting on the student's behalf must notify NCELTR in advance of the student's intention to resume his/her English program. The student must use the remaining weeks in one continuous period of study. If the student chooses not to resume his/her enrolment within the allocated time, all fees will be forfeited.
- A student may appeal in writing to the Head of Language Programs in the event of a dispute over fee refund or any other matter that cannot be settled through consultation with ELP Administration and/or Student Advisor. If the appeal is not upheld, the student may refer the matter to the Director of NCELTR. If this is unsuccessful the student may appeal to the Dean of Students at Macquarie University. This does not preclude the student’s right to take action under Australia’s consumer protection laws.
- The Head of Language Programs, NCELTR, has absolute discretion to determine whether an application for a refund or transfer of fees will be approved.
